To ensure a smooth and stress-free experience, we’ve outlined our policies and guidelines below. These terms are designed to provide clarity, set expectations, and ensure mutual understanding between us and our valued clients. Please take a moment to review them carefully, as they govern the details of our services and help us create a seamless and memorable experience for you and your guests.
1. Booking and Deposit
- A minimum of 25% of the total estimated cost is required to secure your event date.
- All deposits are non-refundable but may be transferable under certain conditions (see Rescheduling Policy).
- Your booking is only confirmed upon receipt of the deposit and a signed service agreement.
2. Payment Policy
- Full payment is required at least 7 days before the event date.
- Flexible payment plans are available upon request.
- Accepted payment methods include: cash, credit, check, and digital (Venmo, Cash App.)
3. Cancellation Policy
- Cancellations must be made in writing and received at least 30 days before the event to avoid additional charges.
- If cancellation occurs more than 30 days before the event, only the deposit will be retained.
- Cancellations within 30 days of the event may incur up to 50% of the total service fee.
- No refunds are provided for cancellations made within 14 days of the event.
4. Rescheduling Policy
- Requests to reschedule must be made at least 30 days before the event date and are subject to availability.
- The deposit can be applied to the rescheduled event within 12 months of the original booking date.
5. Alcohol Procurement and Responsibility
To comply with Ohio state laws and ensure the success of your event, the client agrees to:
- Ohio Bartenders does not provide or sell alcohol. Clients are responsible for procuring all alcohol for the event.
- We offer alcohol consultation services to assist with quantity and type recommendations.
- Clients are solely responsible for complying with all local, state, and federal alcohol regulations.
- Secure Necessary Permits: If your venue requires special permits for alcohol service, the client is responsible for obtaining these.
- Confirm Final Details: Provide final guest count, bar menu selections, and any special requests no later than 10 days before the event.
6. Staffing Requirements
- Ohio Bartenders reserves the right to determine the appropriate number of staff required to ensure quality service based on the size and complexity of your event.
- Additional staffing requests must be made at least 30 days in advance.
7. Service Expectations
- Our bartenders will arrive 1-3 hours before the event to set up and will remain up to 2 hours after the event for cleanup.
- Bar tools, consumables (ice, cups, napkins, straws), and hydration stations are included as per the selected package.
- We will not serve alcohol to anyone under the legal drinking age of 21 or to visibly intoxicated guests.
- The Bartender will use his/her discretion to cease serving patrons who are behaving inappropriately, or who may pose a risk to themselves or others.
8. Liability and Damages
- Ohio Bartenders is not liable for any damage to the event venue caused by guests or third parties.
- Ohio Bartenders is not responsible for accidents or injuries caused by guest behavior.
- Clients assume responsibility for damages caused to Ohio Bartenders’ equipment by guests.
- Ohio Bartenders carries full liability insurance to ensure peace of mind for you and your guests.
9. Customization and Special Requests
- Requests for customized services (e.g., signature cocktails, unique bar setups) must be made at least 14 days before the event.
- Additional fees may apply for certain customizations.
10. Additional Terms
- Event Timeline: Service hours are based on the agreed timeline. Additional hours can be arranged at an additional cost.
- Bartenders will be permitted to display a tip jar/container
11. Force Majeure
- Ohio Bartenders is not responsible for cancellations or delays due to circumstances beyond our control, including but not limited to natural disasters, acts of God, or government restrictions.
12. Media
- The service provider reserves the right to use photos and videos for social media, advertising, display, publication, or other purposes.
13. Agreement to Terms
- By booking with Ohio Bartenders, clients acknowledge and agree to these terms and conditions.
